How to prepare an RFQ for surgical or beauty instruments
A clear request for quotation saves rounds of questions. Here is what to include so a manufacturer can quote the right pattern, finish, marking and packaging.

A request for quotation (RFQ) is the start of every B2B instrument order. The more precisely it describes what you need, the fewer questions go back and forth — and the more accurately the quotation reflects the product you will actually receive.
1. Identify each pattern clearly
For every item, give the instrument name and a reference the manufacturer can match:
- a catalogue name or code, if you are ordering a listed pattern
- a sample you can send, or clear photographs from several angles
- a technical drawing with the key dimensions, if the pattern is custom
Instrument names vary between markets, so a reference image or drawing removes ambiguity.
2. State sizes and variants
List the overall length and any variants — straight or curved, blade or tip style, jaw pattern. If you need several sizes of the same pattern, put each on its own line.
3. Give realistic quantities
Share the quantity per item for the first order and, if known, the expected repeat volume. Quantities change how an order is planned, so an honest estimate helps more than a round number.
4. Describe finish, marking and packaging
- Finish: satin, mirror, matte or a coloured coating — see our finish preview.
- Marking: your brand, logo or code, and where it should appear.
- Packaging: individual pouches, retail boxes or bulk packing, and any labelling text you need.
5. Add commercial details
Include your company name, destination country and the person who will approve samples. If the order has a target date, say so at the start.
A short, complete RFQ is better than a long, vague one. When something is not decided yet, simply say so — it can be agreed before the quotation is confirmed.
